Hi all. I need to call attention to timeliness of meeting materials. Over the last year just about every time our meeting materials have arrived on time have been months when I sent advanced reminders to our consultants. When I don’t, like this month, our team is back to bad habits. I did not even get a draft agenda until Thursday at noon and then quickly responded with our items and some feedback. But it’s Friday and still no board packet. Every time I bring up the subject at the board meeting, all consultants advise that our request to have our materials the Wednesday prior to a meeting is acceptable and doable. Yet it doesn’t happen unless I’m hand-holding it with reminders behind the scenes. There have been plenty of instances when one or more of us have not read one of the pieces of the materials and had to rely on others, or add length to the meeting by having it reviewed. I feel that if the board insists on consistently having our materials in our email boxes by Wednesday night, it is going to take more firm language from a majority of board members. The alternative is that some/all of us show up having read only some of the materials. We either have to abstain, vote based on the recommendation of a peer who has read it, or prolong the meeting by having the consultant brief you/us. None of these are ideal. Personally, I want to have everything read and have some basic questions answered by the relevant consultant ahead of the meeting so the meeting can flow. Ultimately, I don’t want to escalate this if a majority feel differently. But as the presiding officer I wanted to call attention to the issue I’m having with our team.
